Set up your lead tracker in Notion

Create a new database in Notion with these five fields:

  • Name
  • Business
  • Status — New / In Progress / Closed
  • Notes
  • Action Items

That's your CRM. Switch the view to Board and you have a visual pipeline. Keep it simple — you can always add fields later as you figure out what you actually need.

Notion's free plan is more than enough for this. No paid plan needed.

Use Claude to process your notes

After every call or meeting, take your rough notes or call transcript and paste them into Claude with this prompt:

Here are my notes from a sales call. Please:
1. Write a 2-3 sentence summary of the conversation
2. List the key pain points the prospect mentioned
3. List the agreed next steps
4. Note any objections or concerns raised

Notes: [paste your notes here]

Paste Claude's output straight into the Notes field in your Notion entry. Takes 30 seconds.

Works just as well with messy, unstructured notes. You don't need to write anything up beforehand.

Keep your pipeline moving

Check your Notion board once a day — morning works well. Move leads through the stages based on where they actually are. The goal is simple: nothing falls through the cracks.

  • New — just entered the pipeline, first contact not done
  • In Progress — actively in conversation
  • Closed — won or lost, mark it and move on

If you want to add a follow-up date field, Claude can suggest a follow-up message too — just paste the notes and ask it to draft one.

Here are my notes from a sales call. Summarise the conversation in 2-3 sentences, list the key pain points, list the next steps, and note any objections raised. Notes: [paste here]
Draft a follow-up message

Weekly pipeline review
